Five ready-to-send emails, mapped to the exact days they should go out. Copy them, swap the {{placeholders}} for your own details, and stop composing chase notes from scratch. These are the same rungs a reminder ladder sends automatically.
Send one per stage — never a separate email for every open invoice. The tone moves from helpful to firm to final, so the relationship survives each step.
Three days before the due date. Most invoices get paid before they are ever late.
Email templateSubject: Quick heads-up — invoice {{invoice_number}} is due {{due_date}}Hi {{first_name}},
Just a friendly heads-up that invoice {{invoice_number}} for {{amount}} is due on {{due_date}}. No action needed if it's already scheduled — otherwise you can pay it here: {{payment_link}}.
Thanks!

The templates above are fine for a handful of invoices. They fall apart the moment a firm is chasing across dozens of client books — which is exactly where the money is.
A five-step sequence over roughly 90 days works for most firms: a heads-up three days before the due date, a friendly check-in at day 7, a firm follow-up at day 35–50, an urgent warning at day 65–80, and a final notice at day 95 and beyond. Send at most one reminder per customer per stage.
Include the invoice number, the amount, the original due date, how many days late it is, a link or attached PDF to pay, and one clear next step. Escalate the tone gradually and keep the facts front and centre.
Keep it to one email per customer, escalate gradually from friendly to firm to final, keep the language factual and professional, and avoid a separate message for every open invoice. A calm scheduled sequence reads as disciplined, not aggressive.
Only if your engagement terms allow it. If they do, state the fee factually in the urgent stage rather than as a threat, and apply it consistently across customers.
At the same time each working day, from your own domain so replies land in your inbox, and batched so a customer with several overdue invoices receives one combined email rather than one per invoice.
Settl watches every open invoice and runs the whole sequence above for you: one calm, perfectly-timed reminder per customer at 7, 35, 50, 65, 80 and 95 days past due, with PDFs attached and tone matched to the day — until the money lands.
